Job Description

This is an execution-driven, coordination-heavy Personal Assistant role supporting the MD’s office (business + personal). The role requires high ownership, strong follow-through, and endto-end responsibility for administrative tasks, communication, travel management, and events. The PA will manage both personal and business schedules, logistics, and engagements   

Key Responsibilities

  1. Administrative Support
    • End-to-end assistance across daily tasks, calendars, scheduling, communication handling, and documentation.
    • Coordination with family members and staff
    • Maintaining confidentiality and professionalism at all times.
  2. Database & File Management
    • Maintain and update databases, trackers, folders, and digital records.
    • Manage all memberships, alliances, renewals, and documentation .
  3. Follow-Up & Task Closure
    • Ensure timely follow-ups and closure of tasks communicated via WhatsApp, email, or inperson.
    • Maintain discipline in tracking commitments and deadlines.
  4. Travel Management (Business + Personal)
    • Handle ALL travel requirements: planning, itineraries, bookings, coordination, approvals, audits.
    • Proactively track visas, passport validity, travel documents, and related logistics.
    • Provide comparative quotes and travel options for decision-making.
  5. Events Execution (Personal & Business)
    • Plan and manage events, offsites, dinners, family engagements, and business gatherings.
    • Coordinate vendors, logistics, budgets, guest lists, and event timelines.
  6. Vendor & Stakeholder Coordination
    • Liaison with external vendors, service providers, and internal stakeholders.
    • Ensure smooth execution and handle last-minute issues effectively.

 

Core Competencies Required

    • Excellent communication skills (written & verbal)
    • Highly organized with strong attention to detail
    • Professional etiquette and ability to handle senior stakeholders
    • Strong follow-up discipline and reliability
    • Time management and multi-tasking ability
    • End-to-end travel management expertise
    • Experience in event execution (preferred)
    • Tech-savvy, proficiency in Google Workspace, trackers, and AI tools
    • Problem-solving ability and good judgment
    • High reliability and trustworthiness
